How to re-use the Employee ID for ex-staff who has rejoined the company?

Symptoms:

An employee is rejoining the company/group after leaving for an extended period of time and the company wants to reuse back the ex staff old employee ID and existing data.

Possible cause(s)

Suggested workaround / solution(s):

1. Go to Personnel > Employee Record > Career > Service Record.
a) Clicked on 'Resigned' and Submit to select the resigned employee from “Employee List” ( Select the staff name) . Take note of the employee’s join date & termination date (remember to copy the date to Notepad etc. as these will be required at step 5)

2. Next, delete the termination record of the staff via Employee Record > Termination, then click on “Delete” button.

3. Go to Personnel > Employee Record > Career > Service record and ensure that “Termination Date” column is now blank.

4. On the same screen, go to Career > Join Details tab. Select the employee and change it to the new join date, followed by “Save” button. Go to Service record to view.

5. To keep the previous service record, go to Career > Service Record. Click on “New Service Record”. Select the company, join date and termination date (the recorded dates in notepad as per Step 1), select “Yes” for recognized services (means that “Year Of Service” in the previous employment will be added to the current services and the Leave entitlement will be calculated based on old join date, 14 Mar 2011).

6. Click on “Submit” button.

Note: Employee will be able to view the new join service record and previous join and termination service record.
