Why there is no emails sent to either the manager or applicant for leave application?

Symptoms:

An employee has applied leave successfully but the manager did not received any email notification(s).
The employee has checked that the leave is in pending state under Leave -> My Leave -> Leave Status.

Possible Cause(s):

  1. No email address entered for the manager/employee.
  2. The manager/employee has unchecked “Use my business email” option under Preferences and the personal email field is either empty or invalid.
  3. Backend Email program has not been activated.
  4. Changes to Mail Server IP/Machine Name

Suggested workaround / solution(s):

For PC(1) :


a. Go to Personnel -> Employee Records -> Career (Office Contact) tab
b. Check if the business email field has been updated
c. Update where applicable


For PC(2) :

a. Login in the system using the employee/manager account
b. Go to Preferences
c. Check if “Use my business email” option and personal email field has been updated correctly
d. Update where applicable


For PC(3) - require Windows System administrator of Frontier eHR server to perform the steps :

a. Go to Control Panel -> Schedule Task
b. Right-click on the task named either “fepBkpro.exe” or “Frontier Email” and select run
c. If the task is unsuccessful, the common reasons are:

i. Change of password of the user activating the task
ii. Change of IP or server for the email server

 

For PC(4) - require Windows System administrator of Frontier eHR server to perform the steps :


a. Go to Start >> Settings >> Control Panel >> Administrative Tools >> Internet Services Manager
b. On the right hand panel, a list of computers will be displayed. Expand the Server with Frontier eHR installed.
c. Right-click on Properties on “Default SMTP Virtual Server”.
d. Go to Delivery tab and click on “Advanced…” Button
e. Under Smart Host, enter the new IP/Machine name of the Mail Server.
Note: If you are entering IP addresses, you will need to enclose it with a pair of []. i.e. [192.168.0.0]. For machine names, simply enter the machine name.

Note: PC stands for Possible Causes(s)
